How to create an email or SMS/text template

Creating the template #

  1. Click on the Setup button on the Insight Menu Bar (may be under More).
  2. Click on Templates.
  3. Choose either Email Templates or SMS Templates.
  4. Click the Add Template button.
  5. Enter a Title for this Email or SMS/Text.
    NOTE: The title will only ever be seen in the Insight program, not by your clients. It is for you to recognize the template when you are selecting it from the list.
  6. Enter a Subject (Email only).
  7. Enter the Message text for the Email or SMS/Text. For template examples, click here.

NOTE: When creating a SMS template, only use letters, numbers and basic punctuation such as: ,-!#;&:/. Special characters, accented letters and ellipsis () can cause your message to not send properly.

Insert button #

The options on this button allow you to insert data placeholders into the message. What this means is that when the message is actually sent, personalized information from your clients’ file will be inserted in place of what you see here. For example, if you click the Insert button and select First Name from the menu, “<@FIRSTNAME>” will be inserted into the message. Which, when sent, the message will replace that tag with appropriate information.

What each Insert option does:

    • First Name – This will insert the client’s first name into the message when it is sent.
    • Last Name – This will insert the client’s last name into the message when it is sent.
    • Birthdate (Month Day) – This will insert the month and day of the client’s birth date into the message when it is sent.
    • Anniversary (Month Day) – This will insert the month and day of the client’s anniversary into the message when it is sent.
    • Last In (Month Day, Year) – This will insert the month, day, and year of the client’s last visit date into the message when it is sent.
    • Account Balance – This will insert the client’s current account balance into the message when it is sent.
    • Loyalty Points Balance – This will insert the client’s current loyalty points balance into the message when it is sent.

Insert Image Icon (top-middle, email only) #

Actions button (Email only) #

This button allows you to add or remove file attachments on your template.
